There are two fundamental questions that must be answered, in order to manage the inventory of any physical item - when to order and how much to order.? Is there any spread sheet available to trigger Minimum , Maximum & critical levels ?

No and if you have to ask that question you are the wrong person to be in charge of that task.

    Martin,
2 of my customers use inventory management systems. One refers to their system as tigers. This may be a system they developed for themselves. I am not sure what the acronym stands for. The other refered to their system as kanban. It is named for a managegement system or principle of Japanese origin I think. You may be able to search "kanban" or "inventory management software" and find a comercial product that you can use.

Martin, to me your subject line suggests you intend to order and manage spares for an SMT machine at your site. Such activity is purely based on trend analysis and strategic planning. This does not require an ERP software or MOQ consideration with your supplier.
If however you are focused towards inventory management of parts either manufactured or traded by you, take an ERP package.
    - Cheers !!
